J Toop Associates Limited (registered in England and Wales, company no. 3450912) is an accountancy practice in Woking, Surrey. This notice explains what personal data we collect, why, and what you can ask us to do with it. We are the data controller for the information described here.
What we collect
- If you enquire through this website: your name, email address, phone number, the option you selected and your message.
- If you become a client: the financial and personal information needed to prepare your accounts, returns or audit — income, expenditure, bank and payroll data, and identification documents.
- Audit work: the records and explanations we need to obtain audit evidence, including information about third parties where it appears in your books.
- Anti-money-laundering records: identification and verification evidence we are legally required to obtain and keep.
Why we hold it, and our lawful basis
- To provide accountancy, audit and taxation services. Performance of our engagement with you.
- To answer your enquiry. Your consent, and our legitimate interest in replying.
- To meet legal and regulatory duties. Tax law, the Companies Act, the Money Laundering Regulations and ACCA's regulations all require us to keep records and, in the case of audit, to retain working papers.
Who we share it with
With HMRC and Companies House where we file on your behalf; with the Charity Commission where relevant to charity work; with our regulator, the ACCA, where required for monitoring; with the providers hosting the systems we use, including the form service that delivers messages sent from this site; and with anyone we are legally required to tell. We do not sell your data or pass it on for third-party marketing.
How long we keep it
Client records are kept for the periods required by tax, company and anti-money-laundering legislation, and audit working papers for the period required by our regulator — generally at least six years. Enquiries that do not become engagements are deleted on request.
Your rights
Under the UK GDPR you can ask for a copy of your data, ask us to correct or delete it, ask us to restrict or stop using it, and ask for it in a portable format. Some rights are limited where we are legally or professionally required to retain records.
